Terms of Service

EventFlowHub.io is a Software-as-a-Service (SaaS) workflow and operational record-keeping platform offered to event agencies, production houses, and operational teams. It is operated by BTL INFOS.

Subject to these Terms and the active subscription, BTL INFOS grants the workspace owner a non-exclusive, non-transferable, revocable right to access and use EventFlowHub.io strictly for internal operational purposes of the subscribing organization. Access is granted to authenticated users only.

• Maintaining the confidentiality of login credentials and authentication factors.
• Granting workspace access only to authorized members of the organization.
• Ensuring all activity performed under the account complies with these Terms and applicable law.
• Promptly notifying EventFlowHub.io of any suspected unauthorized access or security incident.

Each workspace is owned by the organization that created it. The workspace owner controls billing, membership, role assignments, branding, and retention preferences. EventFlowHub.io acts as the processor of workspace data on behalf of the workspace owner.

Estimates, proposals, and approvals generated through the platform are the commercial responsibility of the workspace and its team. EventFlowHub.io provides workflow infrastructure but is not a party to the commercial relationship between the agency, its clients, or its vendors, and does not validate the underlying transactions.

Purchase orders, vendor confirmations, and procurement records produced in the platform reflect the operational decisions of the workspace team. The workspace is solely responsible for the accuracy, authorization, and lawful basis of every procurement action it initiates. See also the Vendor & Marketplace Disclaimer.

Subscriptions are SaaS access fees and renew on the cadence selected at signup. Fees are exclusive of GST and other applicable taxes, which will be added where required by law. Billing disputes must be raised within a reasonable period of the invoice date. Failure to maintain a valid payment method may result in suspension of the workspace in line with the published grace policy. See the SaaS Subscription & Billing Terms for the full schedule.

EventFlowHub.io may not be used to:

• Store or transmit unlawful, infringing, obscene, or harmful content.
• Attempt to bypass tenant isolation, RLS policies, or access controls.
• Reverse-engineer, scrape, or disrupt the operational integrity of the platform.
• Send unsolicited communications, spam, or fraudulent messages through WhatsApp, email, or any integrated channel.
• Impersonate any person, organization, or workspace.
• Upload malware, scripts, or any payload designed to interfere with the platform or other users.

BTL INFOS may suspend or terminate any workspace that materially breaches the Acceptable Use Policy, with or without prior notice.

The platform may integrate with third-party services for hosting, authentication, payments, communication, and analytics. BTL INFOS does not control and is not responsible for the availability, content, or policies of third-party providers. Use of integrations is at the workspace's discretion and is governed by the third party's own terms.

The EventFlowHub.io platform, including its interface, source code, workflows, design, and branding, is the intellectual property of BTL INFOS. Customer data, proposals, and creative assets uploaded into a workspace remain the property of the workspace owner. The workspace owner grants BTL INFOS a limited, operational license to host, store, process, and display such data solely to operate the platform.

Each party shall protect the other party's confidential information with the same degree of care it uses for its own confidential information, and not less than a reasonable standard of care. Customer data is treated as confidential by BTL INFOS.

To the maximum extent permitted by applicable law, BTL INFOS, its affiliates, officers, and employees shall not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages, including loss of profits, revenue, goodwill, business opportunity, operational losses, vendor or client disputes, or data loss, arising out of or related to use of the platform.

The workspace owner is responsible for maintaining its own backups and exports of workspace data where required for its operational or regulatory purposes.

The workspace owner agrees to indemnify, defend, and hold harmless BTL INFOS and its affiliates from and against any claims, damages, losses, and reasonable legal costs arising from (a) misuse of the platform, (b) violation of these Terms, (c) infringement of any third-party right, or (d) any unlawful or unauthorized content uploaded into the workspace.

Neither party shall be liable for any failure or delay in performance caused by events beyond reasonable control, including acts of God, natural disasters, government action, cyber-attacks, internet or telecommunications failures, power outages, pandemics, or other force-majeure events.

EventFlowHub.io targets 99.9% best-effort operational uptime for the production environment, measured on a monthly rolling basis excluding scheduled maintenance and force-majeure events. Scheduled maintenance is communicated in advance where reasonably possible. No guarantee of uninterrupted service is provided.

Either party may terminate a subscription in line with the published cancellation policy. BTL INFOS may suspend or terminate access without notice in the event of non-payment, breach of these Terms, or activity that threatens the security, integrity, or lawful operation of the platform. Upon termination, the workspace owner is granted a defined export window before workspace data is removed from active infrastructure, subject to legal retention obligations.

BTL INFOS may update these Terms from time to time to reflect changes in law, technology, or platform operations. Material changes will be communicated through the platform or via the registered workspace contact. Continued use after the effective date constitutes acceptance.
